Privacy Policy for BYSC Management

1. Introduction
BYSC Management (“the App”) is the official club-management application of Baidyapara Young Star Club (“BYSC”, “we”, “our”, or “us”).
The App is intended for authorized BYSC members, collectors, cashiers, administrators, and other approved club officials. This Privacy Policy explains what information the App collects, how it is used, stored, protected, and shared.
By using BYSC Management, you agree to the practices described in this Privacy Policy.
2. Information We Collect
Depending on your membership and assigned role, the App may collect and process the following information:
Personal and Membership Information
- Member name
- Mobile phone number
- BYSC member ID
- Membership role and permissions
- Membership status
- Joining date
- Monthly membership fee
- Account password, stored only in secured hashed form
Club and Financial Records
- Monthly fee dues and payment status
- Payment amounts and payment dates
- Receipt numbers
- Donation records
- Cash collection and handover records
- Expense and opening-balance records
- Name of the authorized person who collected or handled a transaction
- Transaction notes entered by authorized users
The App does not process online bank, debit card, or credit card payments. Membership fee collection is currently recorded as cash collection.
Device and Technical Information
The App may process:
- Firebase Cloud Messaging token
- General device type, such as Android
- IP address
- Login date and time
- Successful and unsuccessful login attempts
- Security and audit-log information
- Installed app version and build number
This information is used for account security, fraud prevention, notifications, troubleshooting, and maintaining reliable service.
Information Stored on the Device
After a successful login, basic member information may be stored locally on the device to keep the user signed in. This information may include the member’s name, phone number, member ID, role, fee amount, and permissions.
Locally stored session information is removed when the user logs out and may also be removed by clearing the App’s data or uninstalling the App.
3. Information We Do Not Collect
The App does not request access to or collect:
- Precise or approximate location
- Phone contacts or address book
- Photos or videos
- Camera data
- Microphone recordings
- Call logs
- SMS messages
- Advertising identifiers for personalized advertising
The App does not display third-party advertising.
4. How We Use Information
We use collected information to:
- Authenticate members and authorized officials
- Manage member profiles and permissions
- Display monthly fees and outstanding dues
- Record fee and donation collections
- Generate and maintain receipts
- Maintain cash handover and financial reports
- Send important club notices and payment notifications
- Share receipts when requested by an authorized user
- Protect accounts from unauthorized login attempts
- Maintain audit logs and accountability
- Improve App security, performance, and reliability
- Comply with applicable legal and accounting requirements
We do not sell or rent personal information.
5. Push Notifications
BYSC Management uses Google Firebase Cloud Messaging to send club notices, fee reminders, payment updates, and other important notifications.
A Firebase device token may be stored on the BYSC server for this purpose. Users can disable notifications at any time through their Android device settings. Disabling notifications does not prevent the user from accessing other App features.
6. WhatsApp Receipt Sharing
The App includes an optional WhatsApp receipt-sharing feature.
When an authorized user taps the WhatsApp sharing button, the App may open WhatsApp with a prepared message containing information such as:
- Member name
- Member phone number
- Receipt number
- Payment amount
- Fee month
- Collector name
- Receipt link
Receipt information is shared with WhatsApp only after the authorized user actively selects the sharing option. The App does not read the user’s WhatsApp messages or contact list.
Any information sent through WhatsApp is also subject to WhatsApp’s own privacy policy and terms.
7. How Information Is Shared
Information may be shared only in the following situations:
Authorized BYSC Officials
Member and financial information may be visible to authorized club administrators, cashiers, collectors, and officials according to their assigned roles and permissions.
Service Providers
We may use trusted service providers to operate the App, including:
- Website and server-hosting providers
- WordPress infrastructure
- Google Firebase Cloud Messaging
- WhatsApp, when a user chooses to share a receipt
These services may process limited information necessary to provide their functionality.
Legal Requirements
Information may be disclosed if required by applicable law, legal process, court order, or a valid request from an authorized government authority.
Business or Administrative Changes
If responsibility for operating the App or the club system changes, necessary information may be transferred to the new authorized operator with appropriate safeguards and notice where required.
We do not sell personal or sensitive user information to third parties.
8. Data Security
We take reasonable administrative and technical measures to protect personal and financial information, including:
- HTTPS-encrypted communication
- Securely hashed account passwords
- API authentication
- Role-based access control
- Restricted administrative access
- Login-attempt monitoring
- Audit logging
- Regular software and security updates
However, no electronic storage or internet transmission method is completely secure. Users are responsible for protecting their mobile devices and account passwords.
9. Data Retention
Personal and membership information may be retained while the person remains an active or historical member of BYSC.
Payment, receipt, donation, cash handover, expense, and other financial records may be retained for accounting, fraud prevention, club transparency, dispute resolution, security, and applicable legal requirements.
Audit logs are generally retained according to the retention period configured by the BYSC administrator. The current system supports automatic deletion of old audit logs, normally after 365 days.
Information that is no longer reasonably necessary may be deleted or anonymized where technically and legally appropriate.
10. Account and Data Deletion
Members may request correction, deactivation, or deletion of their membership account by contacting BYSC Administration.
After receiving a verified request, BYSC may delete or deactivate the member’s account and remove information that is no longer required.
Some payment, receipt, financial, security, and audit records may need to be retained for legitimate accounting, fraud-prevention, dispute-resolution, or legal purposes. Where complete deletion is not possible, access to such information will remain restricted to authorized persons.

11. User Rights and Choices
Subject to applicable law, users may request:
- Access to their membership information
- Correction of inaccurate information
- Password change or reset
- Account deactivation
- Deletion of eligible personal information
- Information about how their data is handled
- Disabling of push notifications
Requests may require identity or membership verification to prevent unauthorized access or deletion.
12. Children’s Privacy
The App is intended for authorized BYSC members and officials and is not designed for unrestricted use by children.
If information about a minor member is maintained, it should be provided or approved by the minor’s parent, legal guardian, or authorized club administration, as applicable.
We do not knowingly collect personal information from children for advertising or commercial profiling.
13. Third-Party Services and Links
The App may open external services or links, including WhatsApp, a web browser, receipt pages, Google Firebase services, or an App update/download page.
These third-party services operate under their own privacy policies and terms. BYSC is not responsible for the independent privacy practices of third-party services.
14. Changes to This Privacy Policy
We may update this Privacy Policy when App features, data practices, legal requirements, or third-party services change.
The revised policy will be published on the official BYSC website with an updated “Last Updated” date. Continued use of the App after an update means the user acknowledges the revised Privacy Policy.
